Hotel In-House AV vs External AV in the UAE
Which side of the room should run your sound, lights and screens? A practical comparison for planners booking a UAE hotel ballroom, lobby or terrace.
By the EchoLight team · UAE-wide event production · Updated 22 Oct 2026
Most UAE hotels have an in-house audiovisual team or an exclusive partner. That is useful, because they know the room, the rigging points and the power. It also means the first question is not "which is cheaper?" but "what does my event actually need, and what does my venue contract allow?" This guide is for planners, PAs and brand managers choosing between the two, across Abu Dhabi, Dubai, Sharjah, Ras Al Khaimah and the other emirates.
Side-by-side: what really differs
| Factor | Hotel in-house AV | External AV company |
|---|---|---|
| Room knowledge | Strong: knows the ballroom, rigging points and house power | Needs a site visit and the hotel's technical pack |
| Design depth | Usually a standard menu: mics, projector or LED wall, basic wash lighting | Custom design: moving lights, LED content, lasers, timecoded show control |
| Accountability | One bill, one contact, but you work to their kit list | You hold a separate supplier; coordination is part of the job |
| Flexibility | Fixed equipment and house rules | Equipment chosen for your brief and brand |
| Rehearsal | Often limited to the venue's schedule | Can plan a cue-to-cue rehearsal if the venue allows access |
| Contract terms | Typically included or exclusive; check your agreement | May need hotel approval, insurance and a load-in slot |

When in-house AV is the right call
Good fit
- Board meetings, briefings and training sessions
- Lobby receptions and small brand moments
- Events with a tight budget and a simple run of show
- Short lead times where the house team is already on site
Watch out for
- Standard lighting that flattens a ballroom
- A single operator covering sound, slides and cues
- No spare mics or backup if something fails
- Limited LED sizes or screen formats
If your event is mostly speeches and slides, the house team is often enough. Ask for the equipment list, the operator count and what happens if a radio mic drops. Our conference AV setup checklist and guide to corporate audio problems give you a ready list of questions.
When external AV earns its fee
Bring in a specialist when the event has to look like something: a product reveal, an awards night, a government ceremony or a gala dinner with a stage moment. These need lighting design, content, show control and a rehearsal plan, which is a different job from supplying a microphone and a projector. See how a turnkey AV approach or a gala dinner lighting design works in practice, or what corporate gala lighting can look like.
- Custom lighting and LED: moving heads, uplighting and screens sized for the room, not for the hotel's standard package.
- Timecoded cues: lights, video and sound locked to one soundtrack, as on a reveal or ceremony.
- Special effects: lasers, cold sparks or haze need approvals and venue sign-off before anything is booked.
- A single creative owner: one team designing light, sound and screen together, so nothing is left to chance.
The hybrid model most planners end up with
In practice, a lot of UAE hotel events split the work. The hotel supplies what is built into the room: house sound for speeches, power distribution, rigging points and venue staff. The external team supplies the show layer: lighting design, LED content, special effects and the person calling cues. For the split to work, agree in writing who owns each system, who supplies power and who has the final say on the rehearsal slot. A one-page AV brief and a technical rider make that conversation shorter.
Ask the hotel before you decide
- Is in-house AV mandatory or exclusive, and is there a supplier fee or levy for outside equipment?
- What are the load-in and load-out windows, and can the room be rehearsed the day before?
- Where are the rigging points, what is their rated load and who signs off truss and hanging?
- How much power is available, on which circuits, and can a generator or distro be used?
- Which items need approvals (lasers, haze, cold sparks) and who submits them?
- What insurance and method statements does an outside supplier need to provide?
We work both ways: inside hotels that insist on their house team, and alongside them when the brief needs a bigger show layer. The smoothest events we see are the ones where the planner shares the venue's technical pack early, so the design fits the room instead of fighting it. If you are unsure which route fits, send us the date, venue and guest count and we will tell you plainly whether house AV is enough. See also how to evaluate an AV company in the UAE.
Illustrative cost view
Prices depend on the venue, the date and the brief. These are typical production ranges for the show layer we supply, in AED excluding 5% VAT. Hotel house packages are priced by the venue, so ask for their rate card.
| Event type (illustrative) | Typical external production | Where in-house often suffices |
|---|---|---|
| Hotel lobby moment | AED 8,000–20,000 | Reception with background music and a speaker |
| Town hall or briefing | AED 30,000–70,000 | Plain stage, slides and mics |
| Hotel gala dinner | AED 65,000–200,000 | Rarely, unless the programme is minimal |

A simple decision rule
Count the "show moments" in your run of show: a reveal, an entrance, a video cue, a toast with lights. Zero or one usually means house AV is fine. Two or more usually means the show deserves a dedicated team, because each moment needs design and rehearsal. When in doubt, ask the hotel for a technical pack and compare it with your brief. A short call with a production team can save a re-book later. Frequently asked questions
Can I bring my own AV company into a UAE hotel?
Often yes, but it depends on your venue agreement. Some hotels allow outside suppliers with notice, insurance and a technical pack; others make house AV mandatory or charge a supplier fee. Ask in writing before you sign, and confirm load-in times and rigging rules at the same time.
Is hotel in-house AV always cheaper?
Not always. It can look cheaper for a simple event because there is no transport or load-in, but standard packages may not match your design. If you then add lighting or screens from outside, the total can rise. Compare like for like, including operator hours.
What is a hybrid AV setup?
It splits the work: the hotel supplies house sound, power and rigging points, while an external team supplies lighting design, LED content and show control. It works best when the responsibilities, power supply and rehearsal time are agreed in writing before the event.
When should I decide between in-house and external AV?
Early, ideally when you shortlist venues. Lighting, screens and special effects can need approvals and lead time, and rehearsal slots can be limited. Deciding before you sign the venue contract keeps your options open and avoids surprise exclusivity clauses.
Does EchoLight work with hotel house teams?
Yes. We coordinate with the hotel's technical team on power, rigging, load-in and approvals, and we plan the handover so both sides know who runs what. Share the venue's technical pack with your enquiry and we can advise on the right split.
